Description:
The Personal Assistant (PA) to the CEO plays a mission-critical role in enabling the Chief Executive Officer to operate at peak efficiency. You will serve as the primary point of contact, gatekeeper, and right-hand support for the CEO — managing time, communications, and priorities with the highest degree of professionalism, discretion, and proactiveness. Key Responsibilities
Calendar & Schedule Management:
- Manage and optimize the CEO's complex daily, weekly, and monthly calendar
- Schedule meetings, calls, and appointments with internal teams, clients, investors, and external partners
- Anticipate scheduling conflicts and proactively resolve them
- Prepare daily briefings and agenda summaries for the CEO
Communication & Correspondence:
- Act as the first point of contact for all CEO communications — emails, calls, and messages
- Draft, review, and manage correspondence on behalf of the CEO
- Ensure timely follow-up on action items and pending communications
- Liaise professionally with internal departments, clients, and stakeholders
Travel & Logistics:
- Arrange domestic and international travel, including flights, hotels, and ground transportation
- Prepare detailed travel itineraries and trip briefing documents
- Manage visa applications, travel documents, and expense reports post-travel
Meeting & Event Coordination:
- Coordinate and prepare materials for board meetings, leadership reviews, and investor presentations
- Take accurate minutes during key meetings and distribute action items
- Organize executive-level company events and off-site sessions
Administrative & Operational Support:
- Manage and organize confidential documents, contracts, and files
- Track and follow up on key projects and deliverables on behalf of the CEO
- Coordinate with HR, Finance, and Operations teams on executive-level tasks
- Handle personal errands and tasks for the CEO as required
- Maintain and manage relationships with vendors and service providers
Qualifications & Requirements
Education:
- Bachelor's degree in Business Administration, Management, Communications, or a related field
Experience:
- 5–8 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role
- Prior experience supporting C-suite executives preferred
- Experience in a technology or startup environment is a strong advantage
