Description:
We are looking for a highly organized, proactive, and ownership-driven Operations Manager to manage day-to-day operations for a healthcare company working with stakeholders across the U.S. and internationally.
This is not a traditional administrative role. You will independently manage multiple workstreams, coordinate across departments, communicate confidently with U.S.-based executives, vendors, and external partners, investigate operational issues, prioritize competing requests, and drive work through to completion.
The ideal candidate has excellent English communication and interpersonal skills, is comfortable speaking with senior executives, takes ownership without constant supervision, and can turn loosely defined requests into organized, completed work.
Key ResponsibilitiesOperations & Workstream Management
- Manage operational tasks, projects, and workstreams across multiple departments.
- Receive requests, clarify requirements, prioritize work, and ensure timely completion.
- Manage competing priorities while tracking deadlines, dependencies, and outstanding items.
- Take ownership of assigned work from request through completion.
- Proactively follow up and identify delays before they become problems.
- Investigate operational issues, determine root causes, and coordinate solutions.
- Maintain accurate trackers, documentation, databases, and task lists.
Executive & Stakeholder Communication
- Communicate professionally and confidently with executives, managers, employees, vendors, and external partners.
- Participate in video meetings and clearly communicate updates, questions, risks, and recommendations.
- Translate stakeholder requests into clear action items and follow through to completion.
- Keep stakeholders informed without requiring constant follow-up.
- Build strong relationships across departments and with external stakeholders.
Logistics & Vendor Coordination
- Coordinate logistics related to medical equipment, supplies, and company materials.
- Track shipments, deliveries, and outstanding requirements.
- Coordinate with suppliers, couriers, freight forwarders, and logistics providers.
- Investigate delayed, missing, or incomplete shipments and coordinate resolution.
- Request quotations, product information, timelines, and other vendor requirements.
- Maintain accurate vendor and shipment records.
Research & Management Support
- Conduct online research on healthcare, business, suppliers, markets, and operational topics.
- Investigate questions and gather information to support management decisions.
- Compare suppliers, products, services, and operational solutions.
- Prepare concise research summaries with findings and recommendations.
- Prepare PowerPoint presentations, reports, charts, and operational summaries.
- Highlight important issues, trends, risks, and decisions requiring attention.
Process Improvement
- Identify operational gaps, bottlenecks, and recurring problems.
- Develop and maintain SOPs, checklists, trackers, and workflows.
- Recommend improvements and identify opportunities to automate repetitive work.
Requirements
- Bachelor's degree in Business Administration, Operations Management, Supply Chain, Healthcare Administration, or related field.
- 3–5 years of experience in operations, business operations, healthcare operations, logistics, supply chain, or similar roles.
- Excellent written and spoken English with confidence communicating with U.S.-based executives and senior stakeholders.
- Strong interpersonal, organizational, and relationship-building skills.
- Demonstrated ability to take ownership and work independently.
- Strong prioritization, problem-solving, investigative, and analytical skills.
- Excellent follow-up and task-management abilities.
- Ability to work with incomplete information, ask the right questions, and determine next steps independently.
- Strong attention to detail.
- Proficiency in Microsoft Excel and PowerPoint.
- Comfortable working remotely with distributed teams across time zones.
