Description:
ITGenics is seeking a proactive, organized, and detail-oriented HR Operations Executive to manage day-to-day HR operations and provide effective administrative support in a fast-paced IT environment. The ideal candidate will have hands-on experience in HR administration, employee records, attendance and leave management, payroll coordination, and HR documentation, along with strong proficiency in FlowHCM, MS Excel, and MS Word.
Key Responsibilities
- Manage end-to-end employee lifecycle activities, including onboarding, confirmation, transfers, promotions, and exit/clearance formalities.
- Maintain accurate and up-to-date employee records, personnel files, and HR databases.
- Manage and update employee information in FlowHCM and ensure HR data accuracy.
- Prepare employment contracts, offer letters, appointment letters, confirmation letters, experience letters, warning letters, and other HR-related documents.
- Monitor and coordinate employee attendance, leaves, late arrivals, absences, and working hours through HR systems.
- Assist in monthly payroll processing by providing accurate attendance, leave, deductions, and employee-related information.
- Coordinate with Finance and other departments to ensure smooth and timely payroll and HR processes.
- Maintain proper documentation and filing of confidential employee records in both physical and digital formats.
- Assist in implementing and maintaining HR policies, procedures, and internal processes.
- Prepare and maintain regular HR reports, attendance reports, employee headcount reports, leave reports, and other HR metrics.
- Handle employee queries related to HR policies, attendance, leave, payroll, benefits, and other administrative matters.
- Coordinate with different departments regarding HR operational and employee-related matters.
- Support employee engagement activities, internal communications, and other HR initiatives.
- Maintain a high level of confidentiality and professionalism while handling sensitive employee information.
- Identify opportunities for improving HR processes, documentation, and operational efficiency.
- Perform other HR and administrative tasks as assigned by management.
Requirements
- Bachelor's degree in Human Resources, Business Administration, Management, or a related field.
- 2–4 years of relevant experience in HR Operations, HR Administration, or a similar role.
- Hands-on experience with FlowHCM is required.
- Good understanding of HRIS/ERP systems and ability to manage employee data through HR software.
- Working knowledge of Excel functions, formatting, data management, reports, attendance sheets, and HR-related calculations.
- Good command of HR documentation, employee record management, attendance, leave, payroll coordination, and employee lifecycle processes.
- Understanding of HR policies, procedures, and applicable employee laws.
- Strong organizational, communication, interpersonal, and problem-solving skills.
- Excellent attention to detail with the ability to manage multiple HR tasks and deadlines.
- Ability to maintain confidentiality and handle sensitive employee information professionally.
- Prior experience working in an IT/software or technology company will be an added advantage.
