Description:
This is a junior-level HR support role responsible primarily for documentation, data entry, and record-keeping in HR systems. The HR Officer (Junior) will assist senior HR staff in routine HR operations, including maintaining employee files, updating software records, coordinating basic recruitment tasks, and supporting daily HR administration.
Key Responsibilities
1. Documentation & Record Keeping
- Maintain and update employee files (physical + digital).
- Enter and update employee data in HR software/HRIS with accuracy.
- Organize contracts, forms, memos, attendance sheets, and supporting documents.
- Ensure all paperwork is complete, filed, and properly labeled.
2. HR Data Entry & Software Management
- Update attendance, leave, overtime, and employee records in the system.
- Assist in preparing simple HR reports by gathering data from software.
- Keep databases organized and error-free for audits and HR reviews.
3. Recruitment Support
- Assist with scheduling interviews.
- Maintain candidate lists and update hiring trackers.
- Coordinate with applicants for interview timings and required documents.
4. Onboarding Assistance
- Prepare joining documents, employee file openings, and orientation materials.
- Collect required documents from new hires and record them in HRIS.
- Assist senior HR staff during onboarding sessions.
5. HR Operations & Administrative Support
- Handle routine HR admin tasks (scanning, printing, filing, organizing).
- Support payroll preparation by collecting attendance data.
- Provide administrative support to all HR team members as needed.

Qualifications & Experience
- Bachelor’s degree in HRM, Business Administration, or related field
- 0–2 years of experience (fresh graduates encouraged to apply)
- Experience with documentation or data entry is a plus
