Human Resources Assistant

 

Description:

We are seeking a highly organized and motivated individual to join our HR department as an HR Assistant. The HR Assistant will provide administrative support to the HR team and assist with various HR functions, including recruitment, employee onboarding, records management, HR compliance, and development of job descriptions. This role requires strong attention to detail, excellent communication skills, and the ability to handle sensitive information with discretion.

 

Key Responsibilities:

- Assist in posting job openings on various platforms and websites.

- Screen resumes and applications to identify qualified candidates.

- Schedule interviews and communicate with candidates regarding interview logistics.

- Conduct reference checks and assist with background verification processes.

- Coordinate new hire orientations and prepare onboarding materials.

- Assist with the completion of new hire paperwork and ensure all required documents are collected.

- Set up new employee profiles in HR systems and assist with training on HR software as needed.

- Maintain accurate and up-to-date employee records, including personal information, attendance records, and performance evaluations.

- Assist with the filing and organization of HR documents and records.

- Prepare HR reports and data analysis as requested by management.

- Assist with compliance-related tasks, including I-9 verification, EEO reporting, and other regulatory requirements.

- Stay informed about changes in employment laws and regulations and ensure HR policies and procedures are compliant.

- Assist employees with benefits enrollment and inquiries.

- Maintain benefit records and assist with annual benefits renewal processes.

- Coordinate employee wellness programs and activities.

- Assist in drafting and updating job descriptions for various positions within the organization.

- Collaborate with department heads and hiring managers to ensure job descriptions are accurate and reflect current roles and responsibilities.

- Develop and implement Key Performance Indicators (KPIs) to measure the effectiveness of HR processes, such as recruitment, onboarding, and employee engagement.

- Monitor KPIs and provide regular reports to HR management, identifying areas for improvement and implementing strategies to enhance HR efficiency and effectiveness.

- Provide administrative support to the HR team, including scheduling meetings, managing calendars, and preparing correspondence.

- Assist with special projects and initiatives as assigned by HR management.

 

Skills and Qualifications:

- Experience as HR of 4 years full time with startups.

- Bachelor's degree in Human Resources, Business Administration, or related field preferred.

- Prior experience in an administrative role, preferably in HR or a related field.

- Strong organizational skills with excellent attention to detail.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Ability to handle sensitive and confidential information with discretion.

- Excellent communication skills, both written and verbal.

- Ability to work independently and prioritize tasks effectively in a fast-paced environment.

- Knowledge of HR laws, regulations, and best practices is a plus.
