Description:
To manage the warehouse and dispatch functions. This includes handling incoming and outgoing materials, raw material issuance, inventory control, receiving finished goods (FG) from production, and executing dispatches according to plan. The role is critical for ensuring accuracy, timeliness, and process compliance in all material movements.
Key Roles and Responsibilites:
o Warehouse
- Supervise all warehouse activities, including receiving, storage, stacking, and issuance of materials.
- Ensure all incoming raw materials are properly received, inspected, documented, and in designated areas.
- Implement proper stock rotation (FIFO/FEFO) and labeling for traceability.
- Maintain a clean, safe, and organized warehouse layout in line with 5S standards.
o Raw Material Issuance
- Issue raw materials to the production department based on approved Material Requisition Slips.
- Maintain accurate records of issued and returned materials.
- Monitor raw material stock levels and flag low-stock alerts to procurement.
- Ensure only authorized issuance by verified personnel.
o Finished Goods Receiving
- Receive finished goods from production after QC clearance.
- Record all received FG with details such as item name, quantity & date.
- Maintain real-time inventory of FG in the system.
- Share a daily FG receiving report with the Management by end of day.
o Dispatch Planning & Execution
- Plan dispatches based on FG availability, and delivery schedules.
- Coordinate closely with production for priority dispatches at least two (2) working days in advance to allow due processing.
- Ensure loading activities are completed accurately and on time.
- Maintain discipline and timeliness during vehicle loading and dispatch.
o Dispatch Documentation & Reporting
- Prepare and verify Dispatch Challans (DC), packing lists, and delivery notes.
- Share the DC with Head Office within 15 minutes after vehicle loading and before dispatch.
- Ensure dispatch documentation is complete, signed, and stored.
- Maintain dispatch logs and reports for internal tracking and audit purposes.
o Inventory Management:
- Monitor and manage inventory levels of both raw material and FG.
- Conduct regular stock reconciliations and physical counts.
- Ensure all inventory entries are updated.
- Identify and investigate stock variances promptly.
o KPIs (Key Performance Indicators)
- On-time and accurate dispatch execution
- Daily FG receiving report accuracy
