Description:
Own planning and delivery across four workstreams—Property Management (with accounting), IT/digital projects, Student Consultancy, and Biotech Consultancy. You’ll coordinate teams/vendors, track budgets and timelines, keep stakeholders aligned, and produce clear, numbers-driven reports.
Key Responsibilities
1) Property Management (with Accounting)
- Oversee tenant lifecycle: listings, screening, lease documentation, move-in/out checklists, inspections, maintenance tickets, and rent collection.
- Maintain ledgers: AP/AR, monthly bank reconciliations, security deposits, vendor payments, petty cash.
- Produce monthly P&L, budget vs actuals, and collection/aging reports; flag variances and actions.
- Standardise SOPs, checklists, and compliance documentation.
2) IT & Digital Projects
- Plan and deliver website/app tasks (e.g., WordPress builds, hosting/SSL/DNS, analytics), coordinate dev/design, run UAT, and manage release notes.
- Maintain simple roadmaps/backlogs, risk/issue logs, and sprint/weekly status.
3) Student Consultancy Projects
- Build and track the pipeline: enquiries → counselling → shortlisting → applications → offers → visa/lodging.
- Own document checklists, deadlines, and communication with universities/partners; report conversion and cycle times.
4) Biotech Consultancy Projects
- Track proposals, MOUs/NDAs, research/clinical documentation, and deliverable timelines; coordinate with scientific leads.
- Maintain compliance folders and version-controlled documentation.
5) PMO & Operations
- Create project plans, Gantt/roadmaps, RAID logs, RACI, and weekly dashboards.
- Run stand-ups/reviews; drive decisions, blockers, and follow-through.
- Optimise processes with templates, automations, and SOPs across all streams.
Requirements (Must-Haves)
- 2–3 years in project management/operations or coordination role.
- Solid accounting literacy: journals, reconciliations, budget tracking, vendor payments, basic taxation concepts.
- Strong with Google Sheets/Excel (LOOKUPs, Pivot Tables, conditional formatting) and Docs/Slides.
- Working knowledge of WordPress/hosting basics (domains, DNS, SSL), task tools (ClickUp/Trello/Asana/Jira), and drive/file organisation.
- Clear written & verbal communication; stakeholder management; meeting notes & reporting discipline.
- High ownership, structured thinking, and urgency.
