Project Coordinator / Operations Executive

 

Description:

Are you an exceptionally organized individual who enjoys planning, following up, and making sure nothing slips through the cracks? DigiTechIO, a performance-driven marketing agency, is looking for a Project Coordinator to help align teams, streamline operations, and ensure timely delivery of marketing campaigns across Google Ads, Web Development, Data Entry, Creative, and BD teams.

This is a key operations role for someone who thrives in structured environments, knows how to lead stand-ups, manage ClickUp dashboards, and keep SOPs documented and up-to-date.

 

Key Responsibilities

Project & Task Coordination

  • Manage and update all daily, weekly, and long-term tasks in ClickUp (To Do, Active, Resolved, Closed).
  • Break down goals (e.g. “Test 100 campaigns this week”) into person-specific tasks and subtasks with deadlines.
  • Coordinate and communicate with Google Ads, Web, Data Entry, and Creative teams to align deliverables and timelines.
  • Run daily stand-up meetings to review achievements, blockers, and daily priorities.
  • Track progress, follow up on delays, and escalate unresolved issues to team leads or management.

Team Collaboration & Communication

  • Ensure each department updates their task statuses on ClickUp regularly.
  • Prompt teams via Slack, email, or in meetings to provide updates on pending work.
  • Maintain clear documentation of blockers, changes, and escalations.
  • Send reminder emails to team members who consistently miss updates or deadlines.

SOP Creation & Documentation

  • Draft and maintain SOPs (Standard Operating Procedures) for recurring tasks, QA flows, and team-specific processes.
  • Ensure SOPs are version-controlled and updated with feedback from relevant teams.
  • Share updated SOPs with new hires and assist in onboarding with task-related documentation.

Minutes & Reporting

  • Take minutes of meetings (MoMs) for internal and cross-team discussions.
  • Document all decisions, action items, and next steps post-meeting into ClickUp.
  • Share daily and weekly reports summarizing task completion, blockers, and escalated issues.

  • ClickUp (main project/task management tool)
  • Slack, Google Workspace (Docs, Sheets, Drive, Meet)
  • Zoom / Google Meet for stand-ups and planning sessions

 

Ideal Candidate

  • 1–3 years of experience as a Project Coordinator, Operations Executive, or in a similar role within a digital agency (Google Ads, Meta Ads, etc.).
  • Hands-on experience with ClickUp or similar project management tools (Asana, Trello, Monday.com).
  • Strong organizational skills with the ability to manage deadlines, prioritize tasks, and follow up effectively.
  • Excellent verbal and written communication skills for cross-team collaboration.
  • Comfortable managing multiple departments and stakeholders simultaneously.
  • Proactive and accountable — takes initiative, identifies gaps, and drives execution without being micromanaged.
  • Bonus: Exposure to Google Ads campaign workflows, website/landing page development, or creative production processes.
