Description:
We are currently seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the CEO. This is a crucial role responsible for managing the day-to-day functions of the CEO’s office, ensuring smooth communication and operations while handling confidential matters with integrity and discretion.
Administrative Support:
Manage the CEO’s calendar, meetings, and appointments to ensure efficient scheduling.
Arrange domestic and international travel plans including flights, hotels, and complete itineraries.
Draft, edit, and format documents including reports, correspondence, and presentations.
Meeting Coordination:
Schedule and organize executive meetings with agenda preparation and minute-taking.
Ensure follow-ups on assigned tasks and monitor deadlines.
Serve as liaison between the CEO and internal/external stakeholders.
Strategic Support:
Assist in managing key projects and ensuring timely execution of deliverables.
Conduct research and compile relevant data to support executive decision-making.
Prioritize incoming communications and escalate matters appropriately.
Relationship Management:
Cultivate professional relationships with clients, board members, and key partners.
Act as the point of contact for the CEO’s office for effective communication and follow-through.
Office Management:
Maintain an organized digital and physical filing system.
Prepare expense reports and assist with budget tracking for the executive office.
Occasionally support personal tasks and errands for the CEO.
Education: Bachelor’s degree in Business Administration, Communications, or a related discipline.
Experience: Minimum of 5 years as an Executive Assistant, preferably supporting C-suite executives.
Skills:
Advanced communication (written & verbal).
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent time management, multitasking, and organizational capabilities.
High level of professionalism, discretion, and confidentiality.
Strong initiative and problem-solving attitude.
Keen attention to detail and ability to thrive in a fast-paced environment.
Reliable team player with a flexible and adaptive nature.
