Description:

We are currently seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the CEO. This is a crucial role responsible for managing the day-to-day functions of the CEO’s office, ensuring smooth communication and operations while handling confidential matters with integrity and discretion.

Key Responsibilities:

Administrative Support:

  • Manage the CEO’s calendar, meetings, and appointments to ensure efficient scheduling.

  • Arrange domestic and international travel plans including flights, hotels, and complete itineraries.

  • Draft, edit, and format documents including reports, correspondence, and presentations.

Meeting Coordination:

  • Schedule and organize executive meetings with agenda preparation and minute-taking.

  • Ensure follow-ups on assigned tasks and monitor deadlines.

  • Serve as liaison between the CEO and internal/external stakeholders.

Strategic Support:

  • Assist in managing key projects and ensuring timely execution of deliverables.

  • Conduct research and compile relevant data to support executive decision-making.

  • Prioritize incoming communications and escalate matters appropriately.

Relationship Management:

  • Cultivate professional relationships with clients, board members, and key partners.

  • Act as the point of contact for the CEO’s office for effective communication and follow-through.

Office Management:

  • Maintain an organized digital and physical filing system.

  • Prepare expense reports and assist with budget tracking for the executive office.

  • Occasionally support personal tasks and errands for the CEO.

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Communications, or a related discipline.

  • Experience: Minimum of 5 years as an Executive Assistant, preferably supporting C-suite executives.

  • Skills:

    • Advanced communication (written & verbal).

    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    • Excellent time management, multitasking, and organizational capabilities.
