Description:
We are hiring a high-ownership Head of Operations & Exec Assistant to work at the center of execution and operations, directly supporting the CEO and acting as a Founder’s Office execution lead.
This role exists to ensure that nothing stalls — projects move forward, follow-ups happen, partners respond, and clients experience clean, structured delivery. This is a highly intensive and demanding role. Around the clock availability, late nights with high pressure from clients and suppliers to manage execuution.
This is not a passive coordination role.
This role owns execution, follow-through, and outcomes.
Key Responsibilities
Project Execution & Delivery
- Own end-to-end execution of client projects after sales handover
- Manage timelines, priorities, dependencies, and delivery across multiple projects
- Ensure accuracy, quality, and timely completion of operational work
- Identify risks, delays, or gaps early and resolve them proactively
Founder’s Office & Priority Management
- Act as an execution extension of the CEO across operations
- Support CEO priorities by managing follow-ups, task flow, and execution sequencing
- Track commitments made by leadership and ensure delivery
Client Processing & Post-Sale Continuity
- Coordinate client processing for licenses, visas, renewals, amendments, and related services
- Manage documentation, submissions, approvals, and follow-ups
- Ensure clients receive clear updates and a structured post-sale experience
- Maintain professionalism and clarity in all client communication
External Partner & Vendor Coordination
- Follow up with banks, agents, PROs, government portals, and external partners
- Track approvals, timelines, and outstanding actions
- Close loops aggressively to prevent delays
Systems, SOPs & Process Improvement
- Build and maintain SOPs, workflows, trackers, and internal checklists
- Standardize execution to reduce errors and confusion
- Improve efficiency, accountability, and visibility across operations
- Support automation and AI-assisted workflow initiatives
Internal Team Coordination
- Coordinate between sales, operations, marketing, and technology teams
- Ensure clean handovers covering scope, pricing, and deliverables
- Flag mismatches, unclear commitments, or missing information early
Experience & Background (Flexible)
- Prior experience in project management, operations, coordination, executive assistance, marketing ops, sales ops, or similar roles is helpful but not mandatory
- You do NOT need experience in business setup, visas, or UAE corporate services
- Candidates from any industry are welcome if they demonstrate strong execution skills
