Executive Assistant Office Manager

 

Description:

SVIZONA Pakistan is seeking a highly motivated and organized Executive Assistant to join our team. The Executive Assistant will play a crucial role in coordinating and managing SVIZONA's corporate communications while ensuring efficient customer support through handling customer calls. This position will also involve liaising with various teams to facilitate effective responses to customer inquiries and reporting to corporate management. The successful candidate will work closely with Executive Management, HR, operations, and satellite offices to achieve these objectives.

Key Responsibilities:

Corporate Communications Coordination:

  • Assist in planning, organizing, and executing corporate communication strategies and initiatives.
  • Coordinate internal and external communications to ensure consistent messaging.
  • Prepare and edit correspondence, presentations, and reports for internal and external distribution.
  • Maintain communication channels and platforms, ensuring they are up-to-date and relevant.

Customer Engagement:

  • Professionally handle customer calls and inquiries, addressing their needs and concerns in a timely and courteous manner.
  • Collaborate with cross-functional teams to ensure prompt and effective responses to customer inquiries or issues.
  • Maintain a high level of product/service knowledge to provide accurate information to customers.

Reporting and Documentation:

  • Generate regular reports on corporate communication activities, customer feedback, and performance metrics.
  • Prepare materials and contribute to meetings with corporate management.
  • Maintain records and documentation related to corporate communications and customer interactions.

Team Collaboration:

  • Work closely with HR to support recruitment efforts, onboarding, and training of new team members.
  • Collaborate with operations to streamline processes and improve customer service delivery.
  • Communicate and coordinate with satellite offices to ensure alignment with corporate communication strategies.

Qualifications:

  • Bachelor's degree in communications, business administration, or a related field (preferred).
  • Proven experience in a similar role, preferably in a corporate communication or customer support capacity.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and communication tools.
  • Ability to handle multiple tasks and prioritize responsibilities.
  • Exceptional interpersonal skills and a customer-focused approach.
  • Detail-oriented and capable of maintaining confidentiality.
