Executive Assistant

 

Description:

We are seeking a proactive and highly organized Executive Assistant to provide top-level administrative support and ensure the smooth functioning of the CEO’s office. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will serve as a trusted partner to the CEO, handling confidential information with utmost discretion.

  • Key Responsibilities:

Administrative Support:

  • Manage the CEO’s calendar, appointments, and meetings, ensuring optimal time management.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Prepare and edit correspondence, reports, presentations, and other documents.

Meeting Coordination:

  • Organize and coordinate executive meetings, including scheduling, agenda preparation, and minute-taking.
  • Follow up on action items and ensure deadlines are met.
  • Liaise with internal and external stakeholders on behalf of the CEO.

Strategic Support:

  • Assist in prioritizing and managing key projects and deliverables.
  • Conduct research and compile data to support decision-making and presentations.
  • Act as a gatekeeper for incoming communications, prioritizing and escalating matters as necessary.

Relationship Management:

  • Maintain professional relationships with clients, board members, and other stakeholders.
  • Serve as the primary point of contact for the CEO’s office, ensuring effective communication and follow-up.

Office Management:

  • Oversee the organization and maintenance of files, documents, and records.
  • Handle expense reporting and budget tracking for the CEO’s office.
  • Support the CEO in personal tasks and errands when required.
  • Qualifications:

Education:

  • Bachelor’s degree in business administration, Communications, or a related field.
  • Experience:
  • 5+ years of experience in an Executive Assistant role, preferably supporting C-level executives.
  • Proven track record of managing confidential information with integrity.

Skills:

  • Exceptional organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize under pressure.
