Description:
We are seeking a detail-oriented and highly organized ISO 9001 Documentation Coordinator to assist in creating, preparing, finalizing, maintaining, and auditing all documentation required for our organization’s Quality Management System (QMS). This role will support the Director of Quality in ensuring compliance with ISO 9001:2015 standards and enhancing the efficiency of our quality documentation processes.
Key Responsibilities:
Documentation Management:
- Develop, format, and maintain controlled documents, including standard operating procedures (SOPs), work instructions, forms, and policies to ensure ISO 9001 compliance.
- Work closely with various departments to gather, review, and update documentation as needed.
- Ensure document control procedures are followed, including proper versioning, approvals, and access management.
- Manage digital and physical document repositories, ensuring accessibility and security.
Quality System Auditing & Compliance:
- Assist in internal audits of the QMS to verify compliance with ISO 9001:2015 standards.
- Identify non-conformities and support corrective action implementation.
- Maintain records of audit findings and work with teams to resolve issues.
- Prepare reports and documentation for external ISO audits.
Process Improvement & Standardization:
- Collaborate with process owners to ensure procedures align with business operations and quality objectives.
- Recommend improvements to documentation workflows and QMS processes.
- Ensure consistent documentation language, formatting, and structure in compliance with organizational and ISO 9001 requirements.
Training & Communication:
- Support the Director of Quality in training employees on document control and ISO 9001 compliance.
- Maintain up-to-date training materials related to QMS and document control processes.
- Ensure effective communication of quality policies, procedures, and updates to relevant stakeholders.
Qualifications & Skills Required:
- Bachelor’s degree in business, Quality Management, Engineering, or a related field.
- Minimum of 2 years of experience in document control, quality management, or ISO 9001 compliance.
- Strong knowledge of ISO 9001:2015 requirements and QMS principles.
- Experience with document control systems and audit processes.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management software.
- Excellent attention to detail and ability to manage multiple tasks with deadlines.
- Strong written and verbal communication skills in English.
- Ability to work independently and collaborate with a remote team.
