We are seeking a highly organized, detail-oriented, and proactive individual to join our team as an CEO Assistant. The ideal candidate will be responsible for managing executive-level administrative tasks, ensuring smooth office operations, and maintaining data accuracy and integrity.
This role requires excellent communication skills, strong time management, and the ability to handle confidential information with professionalism.
Key Responsibilities
Executive Support
- Schedule meetings, appointments, and manage travel arrangements.
- Act as a liaison between the executive and internal/external stakeholders.
- Prepare and review reports, presentations, correspondence, and official documents.
- Assist the CEO by prioritizing tasks and effectively managing workload.
- Handle sensitive information with the highest level of confidentiality.
- Conduct research and compile information to support project activities.
Meeting & Event Management
- Prepare agendas, materials, and meeting minutes.
- Attend meetings to take detailed notes and prepare summaries.
- Follow up on action items to ensure timely completion.
- Plan and coordinate company events, conferences, and off-site meetings.
- Coordinate with external vendors, stakeholders, and meeting venues.
Documentation & Record Management
- Organize, maintain, and secure files and records for quick and easy access.
- Ensure confidentiality and proper documentation processes at all times.
- Support data entry operations with accuracy and attention to detail.
- Maintain data integrity and ensure timely updates in the system.
Requirements
- Bachelor’s degree in Business Administration, Management, IT, or related field.
- Proven experience as an Executive Assistant, Executive Secretary.
- Strong command of MS Office (Excel, Word, PowerPoint) .
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Ability to work under pressure and manage shifting priorities.
- High level of integrity, professionalism, and confidentiality.
